Hosting a festival can be an incredible way to engage customers and community in a fun event. There are a lot of details to consider when reviewing this gathering format that if missed, could result in a not great event. Below are five common mistakes we have seen over the years of renting festival equipment to event planners and corporate managers over the years. Order enough hydration stations. We attended a music festival a few years ago that was held on a very hot summer day. The event planners underestimated the amount of water the attendees would need to stay hydrated and cool while watching their favorite musicians. Add in the second mistake made that include no shade options for people and heat stroke quickly became an issue. Check all AV equipment for proper set up. It may seem like a no brainer to test out equipment after it has been set up, but we have seen our fair share of pros who rely on the muscle memory of set up and fail to test before the event. Sound checks, light checks and any other special effect should be tested at least twice before the festival begins, and at least once a day of the festival is a multi-day event. Have enough restrooms for the population. Consider having at least one portable restroom per 50 people at an event. Anything less could lead to a miserable crowd and potential property damage as they look for alternatives. Double check all permitting requirements. Working with local host communities, municipalities and other government agencies to know what permits are needed and bylaws (like noise ordinances) in place can ensure that you do not plan an event that is illegal. Consider trash collection and clean up. Too often, we have worked with planners who work their budgets to highlight amazing acts, provide for fun and festivity, and review safety and security. But cleaning up after the event is just as critical. Make sure you have enough trash, recycling and compost bins throughout the event to encourage participants to pick up after themselves. Have a small team dedicated throughout the event who concentrate on trash pick up and emptying of bins. Then when the event is complete do a thorough clean up effort of the community space. Anything less could mean fines and potential future refusal for permits. When planning an event that your guests will never forget, consider the dazzling spectacle of a laser light show. From animated graphics in a range of rainbow colors to thin pinpoints of light that emphasize aspects of your program, lasers will take your celebration to the next level. How Can I Use Lasers in My Event? Laser light shows can take place either indoors or outside depending on the set-up of your event. A laser searchlight can give your outdoor party the cachet of an A-list affair. Premieres and grand openings can be accentuated with colorful lasers guiding your guests through the space. Corporate trade shows and events highlight products and presentations with the use of lasers. Weddings, reunions, and parties of all kinds can up the ante on fun by adding a laser show as part of the entertainment, such as for a special dance number or during bridal show introductions. The limits of lasers are created only by your imagination. How Do Laser Shows Work? Most laser lighting falls into two categories: beams and graphics. Beams can be animated as a backdrop for a dance or musical performance, while graphics are typically used to create a theme or showcase a logo. Often, graphics and beams are used together for seamless professional effect. Fog or haze can be added to make the lasers look even brighter and more dramatic. The laser beams are controlled by a computer that aims the light at special mirrors. More than 50,000 points of light can be produced every second, which allows the creation of impressive graphics and images. The colors of your light show will depend on the type of lasers you choose. Some projectors create every color of the rainbow, while others are limited to a single or few colors such as green, blue, and red. Do I Need a Special Screen? Laser light can be projected onto any flat surface, which means it’s easy to make it work for any event. You can use any large, relatively flat surface, including but not limited to a wall, an inflatable screen, the side of the building, or even a natural structure like a mountain. You can also use a standard projection screen or an inflatable version. What Other Factors Should I Consider? Planning can ensure that your laser light show is a success. Place these items on your checklist: • You’ll need enough power to support the laser projector. For a dark, indoor room, 500 milliwatts to one watt is sufficient. For indoor rooms with more light, you’ll need between five and 20 watts. Outdoor laser projectors usually require 10 to 80 watts of power. • Beams should ideally be placed in front of the audience so the show can be projected above their heads. This makes the lasers look clearer and brighter. • Graphics are best produced with rear projection. You should place the projector further away than the largest dimension of the screen. For example, a 20′ x 30′ screen should be at least 30 feet away from the projector. Don’t put it further than 100 feet away. • Allow enough time to set up the lasers. From wood and metal to glass, formal or informal, choosing the right dining table for your needs can be challenging. Do you often have surprise guests drop by for dinner? Is your home craft-central on the weekends? Are you throwing an event in Denver and need to rent a specific type of table? The right table shape depends on the answers to these questions and more. Small Space If your dining room is square, or the available dining space is limited, a table that helps maintain the balance and proportion of the room and accommodates four to eight diners comfortably is an ideal option. There is enough space for guests to maneuver around each other and no one feels crowded. Tables that have inserts, enabling them to expand, offer flexibility to seat more guests, if needed. A round dining table is also well-suited to smaller spaces. The smaller footprint creates a cozy environment, allowing everyone to relax and be comfortable. A center pedestal provides leg room for guests and has a clean, simple look. Large Groups For big families or frequent entertaining, a rectangular table may meet your needs. Larger groups can be accommodated in spaces that are narrow as dining tables may be as little as 30 inches wide. While wood tables create a classic Americana atmosphere, glass tables can make the area appear more spacious. If you entertain groups larger than ten frequently, you may want to find a table with at least two leaves. This can extend it enough to seat 12 to 14 diners comfortably. The type of base also plays an important role when choosing a rectangle dining table. Legs at the corners allow you to seat a maximum number of people along the long sides of the table. However, there are other considerations. A trestle base also allows you to add additional guests at the short sides of the table, without worrying about them straddling a corner leg. A pedestal base lets guests stretch out their legs, especially if the table is up to 60 inches wide. However, if there are drop ends being used, the table top may be a bit unstable if weight isn’t evenly distributed. Multi-Purpose Do you put puzzles together or use the dining table to create one-of-a-kind craft creations? A square table that can extend or a rectangular table offers flexibility for several purposes. Push it against the wall, and it can still provide functionality and style. Socializing Round tables encourage conversation and interaction. If you host game night, round tables enable everyone to reach the board in the center of the table. These tables also may have extenders, allowing them to expand to ovals for special occasions. Since there is no head of the table, there are no issues regarding hierarchy. An advantage of round tables is also that they have no corners, which makes it less dangerous for small children.
