Tips for Saving Money on Event Rental Equipment

Hosting an event is an exciting task, but it can also be a costly one. From the venue to the decorations, catering to entertainment, the expenses can add up quickly. However, with the right mindset and approach, it is possible to save a significant amount of money. One area where people tend to overspend is event rental equipment. But fear not, in this post, we will share five tips that can help you save money on event rental equipment without sacrificing the quality or style of your event. Centralize rentals through one vendor: Of course, our first tip will be to call us here at Wright Group Event Services where One Call Rents It All. We can often bundle items, coordinate deliveries, and receive special industry pricing by working with our many partners to deliver all of your party or event rental needs. Choose multi-purpose items: Another way to save money is by choosing multi-purpose equipment. For example, instead of renting a separate dance floor and stage, you can opt for a portable stage that can double up as a dance floor. Or choose tables that can be adjusted to different heights, making them suitable for both dining and cocktail-style gatherings. This way, you can save money and space without sacrificing the functionality of your event. Rent off-season: Most people tend to host events during the peak season, which can make rental equipment prices skyrocket. Consider hosting your event during the off-season or on weekdays when prices are lower. Also, keep in mind major holidays, as rental companies may have limited availability. By renting off-season, you can save a significant amount of money and still have a great event. Return equipment promptly: As a rental company, we often have to charge additional fees for late returns as others may be waiting for inventory. Make sure to schedule a specific time for drop-off and return the equipment promptly. When you work with Wright Group, we usually deliver and pick up. Working with organizations like ours, you can avoid additional charges. Saving money on event rental equipment is possible with some careful research, planning, and creativity. By following these tips, you can save money without sacrificing the quality or style of your event. With these ideas in mind, you can host your dream event without breaking the bank. Call Wright Group Event Services today and be sure to ask if we are running any specials. We usually have a deal for you!

The Complete Event Rental Guide for Political Rallies

Political rallies are a common occurrence during election season. However, planning for a successful rally can be challenging, especially when it comes to finding the right location and equipment. Event rental companies like Wright Group Event Services play a vital role in providing necessary equipment and services to make rallies successful. However, to ensure a successful event, there are specific details that organizers should consider. In this post, we will explore some of the critical factors to consider when working on political rallies for local or state governments. Location A crucial factor to consider when planning a political rally is the location. The location should be easily accessible, and it should have ample space for attendees. The site should also have necessary amenities such as restrooms, electrical connections, and water sources, among others. When evaluating a location, you should also research local regulations regarding crowd size and permits. Common rentals we see in this area are: port-o-potties, portable power generators, and hospitality trucks for special guest accommodations. Sound Systems Sound systems are a crucial component of political events, and it’s essential to have quality equipment for effective communication. When working with the Wright Group event rental company, discuss the type of sound system you need, the size of speakers, and the number of microphones required for the event. We can also provide additional audio equipment like amplifiers and mixers if needed. If you are unsure of your needs, we can help you navigate your options. Staging and Seating A sturdy and attractive stage is crucial for the event to look professional and make the speakers visible to the attendees. Also, you’ll have to consider seating arrangements, depending on the size of the crowd. Bleachers or chairs are ideal for a larger crowd, while for smaller gatherings, you might consider blankets or mats. Lighting Good lighting can enhance the atmosphere of the rally, and it’s critical to choose the right type of lighting equipment based on the time of day or night. High-intensity lighting can provide more visibility when the event happens during the day, and on the other hand, stage lighting might be more effective at night. Security Measures Security is of utmost importance at political rallies. Event planners should adhere to strict safety protocols to ensure attendees and speakers are safe throughout the event. Security options to consider include, metal detectors, bag checks, and security personnel. At Wright Group Event Services, we can source many of these items, including crowd control and barricades. Planning a successful political rally requires a combination of careful evaluation and expertise. Wright Group Event Services can play a vital role in fulfilling all the necessary requirements by providing quality equipment and services. Location, sound, staging, lighting, and security are crucial aspects that require attention. By considering these details, you can create an event that is not only impactful but also enjoyable for all attendees.

Choosing the Right Lighting for Your Events

Lighting plays a vital role in any event, making it a crucial aspect of event planning that should never be overlooked. Proper lighting can help set the mood and add ambiance to your event. With a plethora of lighting options available through the marketplace and through Wright Group Event Services, it can be overwhelming when deciding which type of lighting is best to use for your event. Whether you’re planning a corporate event or a wedding, this post will guide you through the various types of lighting and when they are best suited. Outdoor Events: When it comes to outdoor events, natural lighting is always the best option! If your event takes place during the day, choose a venue with plenty of natural light to reduce the need for additional lighting. For evening events, string lights are an excellent choice. String lights are a good option for creating a soft, warm, and ambient atmosphere. They can be easily hung over dining areas or strung up in trees to create a magical atmosphere. In addition to string lights, use spotlights to highlight landscapes, architectural features, or any other focal point that needs to be highlighted. Corporate Events: Corporate events require a professional and classy atmosphere. Clear, bright lighting is key to achieving this atmosphere. Use bright white lights to showcase branding materials, logos, and signage clearly. For a softer feel, use diffused lighting, which reduces harsh shadows and makes the environment feel more inviting. Create an intimate ambiance with the use of warm lighting, but do not overdo it. Incorporate various lighting fixtures to provide a more engaging and sophisticated atmosphere. Weddings: Weddings demand a magical atmosphere, and nothing screams magic like subtle yet effective lighting. Use fairy lights, also known as twinkle lights, to create an enchanting ambiance. Use a canopy of fairy lights or wrap them around trees or other natural focal points. For the reception area, use a variety of light sources, including chandeliers, pendant lighting, and shaded lamps. Different lighting fixtures provide different moods, so be sure to select the right combination. Charity Events: Charity events require a lively, festive ambiance. Festoon lighting can be an excellent choice for this type of event. They are easy to install and can be strung up in many different styles. A well-designed festoon lighting will add a festive atmosphere to your event while keeping the focus on the cause. Choose bright, bold colors like red, blue, and green to light up your event and pay homage to the cause you’re supporting. Concerts or DJ Events: Concerts or DJ events usually have intensive lighting. They are used to create a dynamic and engaging atmosphere. For these events, use a combination of strobe lights, laser lights, and color-changing lights. These lighting fixtures will provide movement and color around the space, making it more lively and engaging. In conclusion, choosing the right lighting for your event is an essential consideration that will have a profound impact on the ambiance and mood of your event. Follow this guide when choosing your lighting, and you will achieve the perfect ambiance every time. Consider the type of event, venue, and desired atmosphere to select the best type of lighting for your event. Remember, proper lighting can make a significant impact on the quality of your event. Choose the right type of lighting and your event is destined to be a success! Double your success rate by working with Wright Group Event Services for all your event rental needs. 5 Tips for Better Barricade Rental Experiences

people in line

Wright Group Event Services often rents out barricades and fencing to local organizations for festivals, gatherings, and even construction. Our friend in Utah wrote a great blog sharing 5 best tips for a better barricade rental experience. #2 tip on the list relates to overestimating the barricade rental order, or more importantly, underestimating your needs for barricades when renting. We get several requests for fencing, barricades, and other crowd control items for car shows, fairs, art shows, and parades, to name a few. Too often, the person we are working with has underestimated the number of barriers needed. It is always better to have a few too many than not enough. Read on for the other four tips from this group. https://otwsafety.com/blog/barricade-rental-experience/

Let’s Be Friends – 3 Easy Ice Breakers To Turn Strangers Into Friends

People and friends

Holding an event sometimes means you will be introducing new people to one another. Providing a few suggested topics can help people stimulate conversations, especially if you have a group of introverts who are not prone to start up random dialogues with strangers or unknown co-workers. Creating a cohesive team of individuals who know each other at some personal level leads to a better work environment, increased productivity, and reduced turn over. So what questions can you place in front of your team to get the ball rolling toward an interpersonal connection? We found a great blog with 36 questions as suggestions to stimulate empathy, a cornerstone to the beginning of a relationship. Here are three of our favorites. Read to the end where we will also provide a link to the original article. Given the choice of anyone in the world, whom would you want as a dinner guest? Is there something that you’ve dreamed of doing for a long time? Why haven’t you done it? Your house, containing everything you own, catches fire. After saving your loved ones and pets, you have time to safely make a final dash to save any one item. What would it be? Why? The reasoning behind these questions comes from Artur Aron, who tested several questions to determine which ones created empathy the most quickly. It became a New York Times article that went viral, helping people build stronger teams and even a few love connections. You can read all 36 questions reprinted on the Fearless Culture blog. Planning For Outdoor Autumn Events

The change in seasons from summer to fall brings an incredible opportunity to gather outside for the brilliant change in colors and the cooler temperatures. Party planning and event organizing during this time of year has its own challenges, however. Here are a few things to keep in mind as you prepare for the big fall bash! Unpredictable Weather Ok, we know. Colorado weather always seems a little unpredictable. When planning for an outdoor event during the fall, always keep in mind the day could be hot or it could be snowing. Preparing for both options will ensure that you and your guests have a great time regardless of Mother Nature’s whims. Consider adding in heater lamps and tents to your festival, backyard party, or corporate gathering to give people a place to warm up and/or be protected from the elements. If you want to have even more peace of mind, consider adding a marquee to your event! These large tents are specially designed for outdoor parties, wedding receptions, or exhibitions. (add pic) Prepare for Adversity Anytime you plan an event, having a few contingency plans in place will save you from stress and anxiety. Create a Plan B for alternative event locations and dates in the event of the fluke blizzard that can roll in at any time between Labor Day and Memorial Day in Colorado. Check with local recreation centers, libraries, schools, and other community gathering places for out-of-the-box secondary locations to hold your event. Consider a reschedule date that you can easily communicate immediately upon discovering your event may not be possible. Having a plan for the “worst-case scenarios” will give you peace of mind and save brand equity in the event of an emergent issue that causes a shift in location or timing of an event. Consider Diverse Foods While we may call pumpkin spice anything a comfort food, your guests may have different tastes. It is easy to cater food options to the season, with tasty apple ciders, mashed potatoes and sweet potato pies are all indicative of fall, keep in mind that not all can eat these foods. Add in options like leafy green salads, skinless barbequed chicken, and zucchini lasagnas to keep the menu fresh and light for those who may have different dietary needs. For a few other ideas on how to cater to picky eaters, visit our other blog post “Dealing With Special Food Requests.” Planning an outdoor event, regardless of the season, can be exciting and nerve-racking at the same time. What Creates An Event Memory?

Since we are in the business of making lifetime memories through event production, we started to look into why people remember an event. Did you know there is a dedicated memory path specific to storing event memories. Episodic memory refers to a person’s unique memory of an event, usually based on emotion. Just a great reminder to always ask yourself what emotion do you want to add to leave a lasting memory in your guests.
