Get Ahead of the Game: Top 3 Trends in Event Planning for 2024
Event planning has always been a dynamic industry, constantly evolving and adapting to the changing times. This is especially true today, as we look forward to 2024 and beyond here at Wright Group Event Services. In this blog post, we’ll be exploring the top 3 trends we may be seeing in event planning for 2024, so you can get a head start on the competition as an event planner and deliver unforgettable experiences for your clients. Immersive Experiences In the age of social media and virtual reality, event planners are no longer limited by the physical space they have to work with. The trend towards immersive experiences is all about creating a world that attendees can truly lose themselves in. This could involve incorporating 360-degree projection mapping, interactive installations, or live performances that blur the line between spectator and performer. We anticipate our special effects department will be quite busy in the new year. Personalization Gone are the days of cookie-cutter events where everyone receives the same treatment. Personalization is set to become a major trend in event planning for 2024, both in terms of attendee experiences and event branding. One way to achieve this is through data mining, which allows planners to create tailored experiences based on attendees’ unique interests and preferences. Another way is to incorporate interactive elements that allow attendees to customize their experience, such as personalized greetings, gift bags, photo booths, and coloring walls. Sustainability As the world becomes increasingly conscious of its impact on the environment, event planners must follow suit. In 2024, the trend towards sustainability will continue to grow, with planners seeking out more eco-friendly venues and suppliers and finding ways to reduce waste. This could involve incorporating recyclable materials or sourcing locally produced food and drink. If you are looking for great, local vendors in this space, be sure to contact us. We work with several. The Merge of Digital and Physical With virtual events becoming the norm in 2020 and 2021, the merge between digital and physical experiences is set to continue in 2024 and beyond. This could involve creating seamless hybrid events that allow attendees to participate either in-person or online or the utilization of registration platforms to manage in-person capacity and virtual attendees. The demand for better AV equipment and streaming equipment will certainly increase. Our inventory supplies are ready! With technology continuously evolving, clients desiring more unique and personalized experiences, and people being more environmentally conscious, event planners need to adapt. The top 3 trends in event planning for 2024 are immersive experiences, personalization, and sustainability. Additionally, the merging of digital and physical worlds is inevitable and planners seeking to provide an exceptional experience will need to invest in technology in order to tell their story in new engaging ways. By keeping these trends in mind, event planners can create exceptional, unforgettable events that leave a lasting impression on attendees. Event Tent Rental Planning – What You Need To Know
Planning an outdoor event usually requires planning for tent rentals to house guests, protect from the weather, and create the event footprint. But just renting a set of tents is not enough. Careful planning in this area requires consideration in a number of areas. Below are five main questions to ask yourself when approaching a tent rental for a large event. What is the quality of tent needed? Wright Group Event Services recommends that you ask about the condition, regular inspections and cleanings of rental tents in circulation to get the highest quality tents available. What size of tent is needed? Most tent rental companies have a wide array of inventory in varying sizes and shapes. Do you need to house all guests under a single tent? Or will the event require a series of smaller tents to showcase entertainment, food, and other event elements? Have a good understanding of the guest count and uses for the tents before approaching a tent rental center to get the right sized tent(s) for your event. Is a permit needed for the tent? Asking the event center or community space coordinators about any permitting needs is essential, including if tents are even allowed. What is your floor plan? Understand how traffic will flow, where guests may sit or rest, how crowds may congregate, where entertainment will live, how food may be distributed are all great details to consider when developing a floor plan. Then tents can be added to create exclusive or intimate spaces and create other designations for guests to navigate all areas of the event successfully. How will the tent withstand the elements? While no one hopes for increment weather to happen during an event, there is always a risk when holding an outdoor gathering. Asking questions about wind resistance and water proofing for any tent being rented is essential. Not every tent is made to withstand the elements. If you are planning a large-scale event and considering tent rentals to create your space, talk to us at Wright Group Event Services. We have been renting tents for over 30 years and have all of the answers ready for you. You just need to ask the questions.

3 Tips To Equipment Rental For a Successful Tradeshow
Tradeshows, expositions and conventions are common methods to showcase multivendor events, retrospectives, product launches and so much more, all designed to bring together broad audiences to establish relationships. Over the years, we have assisted with tradeshows such as the Denver Auto Show, Aspen Jazz Fest and the Taste of Colorado, to name just a few. There are three key components when renting equipment that one should consider when looking into this event gathering to ensure success. Where will the tradeshow be held? If you are considering an outdoor event, temporary structures like sign in booths, restrooms, staging, fencing, lighting and protection from climate are all a part of the decision-making process. First, consider the goal, location, and audience flow to take stock of items you may need. If the event is being held indoors, tents may not be needed but several of these other items will come into play. Our best advice is to map out the event and activities, then make a wish list/check list of items you will need to create the structure of the tradeshow. Start planning early. One year prior to the event, determine the goal of the exhibition and a detailed budget forecast. 9 months prior to the event, map out where booths, displays, check in, stages and other important areas will live on the tradeshow floor. 6 months prior to the event, determine the final layout and contact any vendors who may be involved with production (including your equipment rental house) with requests for bids, including production specifications you may require. 3 months prior to the show, confirm delivery dates, equipment availability and set up/tear down protocols. 1 month prior to the event, finalize all details with vendors, exhibitors and special guests. The week of the show, make sure all involved are trained and double check that all action items have been completed. Review contracts thoroughly. No one likes surprises, especially when planning a complex event. Review contracts for deadlines, payments, cancellations, contingencies, and substitutions. We have heard of people who have rented specific size tents, stages and other rentals only to have a substituted item arrive that does not meet the needs of the event planner. We only begin to discuss the areas that you should consider when renting equipment for your tradeshow. 4 Ideas For Early Planning For Holiday Events
This year as we begin to gather again for our holiday celebrations, company gatherings and special events like weddings and anniversaries, it is even more important to plan early. Demand increases, supply shortages and staffing issues could impact your ability to create the perfect gathering. The Wright Group Event Services is proud and grateful that our team is well stocked with talented staff members to execute all of your party needs. But supplies and demand are often outside of our control. To ensure that your celebration is everything you dream it could be, consider these early planning tips to prepare for an unusual season. Consider the venue for your event first. Many traditional event venues have moved to limited capacity and abbreviated schedules to accommodate health and safety. If you have a venue in mind, consider at least two alternatives. Then contact them all for availability. Send out save-the-date notifications as soon as possible. After being couped up inside for so many months, people are itching to get out and play. As invitations arrive, they will begin to plan their holiday activities. Be first in line by giving lots of notice. Have a party checklist. Stay organized and reduce your stress by having a comprehensive checklist of party items and to do’s. For bigger events, consider hiring a great rental company who can help you plan, stay organized and provide you with all that you need for a successful event. Set boundaries and budgets. Creating a well thought out timeline and a reasonable budget during the planning phase of your event is critical to keeping stress levels under control. Add a line item in the budget for unexpected expenses to account for surprises as well. 5% is a good rule of thumb with some planners factoring in as high as 25% for this category (Bradshaw 2018). What Is Behind a Memory?
Did you know there is a science behind how we remember events? First, we need a sensory event that triggers our brains. Then the information moves into short term, working memory. Finally, the information moves into long term memory if neurological synopsis occurs. We say get those brain neurons working with an event!
