Planning a Personal Event Without a Party Planner

Calendar planner with different color pens

Personal events like a wedding, anniversary, Bar mitzvah, quinceañera, or graduation, are some of the most important occasions in a person’s life. Whether you are planning for your own event or for a loved one, it can be daunting without the help of a party planner. Fortunately, with proper planning and organization, you can create a successful and memorable event that everyone will cherish for a lifetime. In this post, we will share some essential tips and tricks for planning a personal event without a party planner. Establish a Budget: Before you start planning, it’s important to establish a budget for your event. From the venue to the catering, everything has a cost, and it’s essential to know how much you’re willing to spend before you start planning. Make sure to allocate your funds wisely so that you get the most out of your budget. Keep track of your expenses and make adjustments when necessary. Determine Your Guest List: Your guest list will determine the size of your event and what type of venue you will need. Make sure to invite people that you truly want to be a part of your special day. It’s also important to keep in mind that the more people you invite, the more expenses you may incur. Choose Your Venue Wisely: The venue is one of the most important decisions you will make for your event. The venue sets the tone for your event and can make or break the atmosphere. Make sure to choose a venue that is practical for your needs, within your budget, and accommodates your guest list. Be sure to visit the venue in person and make sure it aligns with your expectations. Manage the Details: Details contribute to the overall success of any event. From decor to music, every detail counts. Be sure to plan ahead and allocate your time to ensure everything is in place before your event date. It’s also important to delegate tasks to reliable individuals who can help you execute your plans successfully. Consider creating a checklist to ensure everything is accounted for and managed effectively. Keep an Open Mind: Planning a personal event can be overwhelming, but it can also be rewarding. Keep an open mind and consider going for DIY options or hiring freelancers instead of traditional party planners. With commitment and creativity, you can achieve the event of your dreams. Rent Party Equipment: Renting tables, chairs, tents, dinnerware, heaters and other party equipment can both add extra touches to your event and save time during set up and clean up. Make it an extra special event by adding a chocolate fountain or a photo booth! Work with a professional rental house to get the very best experience.  Planning a personal event without a party planner can be challenging, but it can also be an enjoyable process. It requires dedication, organization, and creativity. By establishing a budget, determining your guest list, choosing your venue wisely, managing the details, keeping an open mind, and working with a professional party equipment rental company you can execute a successful and memorable event that you will cherish for a lifetime. Town & Country created a great blog with 25 amazing ideas to spruce up a gathering table setting. A few suggestions made stood out for us. Here are a few of our favorites. Add nature with a mossy runner. The added greenery makes the holiday reds, silvers, and blues pop even more! Add festive napkin rings to dress up the table and create a more formal look. Consider a citrus garland. The article suggests eucalyptus and citrus as a combination, but even a traditional bough of evergreen can add holiday cheer and an amazing fragrance to the room. Festival Planning – Are You Ready?

Festival Planning - Are You Ready?

Hosting a festival can be an incredible way to engage customers and community in a fun event. There are a lot of details to consider when reviewing this gathering format that if missed, could result in a not great event. Below are five common mistakes we have seen over the years of renting festival equipment to event planners and corporate managers over the years. Order enough hydration stations. We attended a music festival a few years ago that was held on a very hot summer day. The event planners underestimated the amount of water the attendees would need to stay hydrated and cool while watching their favorite musicians. Add in the second mistake made that include no shade options for people and heat stroke quickly became an issue. Check all AV equipment for proper set up. It may seem like a no brainer to test out equipment after it has been set up, but we have seen our fair share of pros who rely on the muscle memory of set up and fail to test before the event. Sound checks, light checks and any other special effect should be tested at least twice before the festival begins, and at least once a day of the festival is a multi-day event. Have enough restrooms for the population. Consider having at least one portable restroom per 50 people at an event. Anything less could lead to a miserable crowd and potential property damage as they look for alternatives. Double check all permitting requirements. Working with local host communities, municipalities and other government agencies to know what permits are needed and bylaws (like noise ordinances) in place can ensure that you do not plan an event that is illegal. Consider trash collection and clean up. Too often, we have worked with planners who work their budgets to highlight amazing acts, provide for fun and festivity, and review safety and security. But cleaning up after the event is just as critical. Make sure you have enough trash, recycling and compost bins throughout the event to encourage participants to pick up after themselves. Have a small team dedicated throughout the event who concentrate on trash pick up and emptying of bins. Then when the event is complete do a thorough clean up effort of the community space. Anything less could mean fines and potential future refusal for permits. If you are an event planner or corporate meeting planner who is considering a festival as your event theme, contact The Wright Group Event Services team. We have the rental equipment and the decades of experience to help you plan and prepare.
